Ready to ditch the agencies, create amazing in-house content and save thousands in tech-stack spend and wasted employee hours due to design bottlenecks? Everyone is going to be happy – your designers and non-designers… not to mention your CEO when they see how much your company is saving in hours and dollars.

If you’re exploring Canva Enterprise for your organization and you want your team to use it properly (read: on-brand, at speed, and without reinventing the wheel every Tuesday), you’re in the right place.

Below is your practical guide to what Canva Enterprise is, how it compares to Canva Teams and Canva Pro, the benefits and costs… and how my agency can help you roll it out and train your people to get real results.

And why do we care about all of this? Because we've seen what happens when all of these things fall in place because we train organizations to use Canva Teams and Canva Enteprise. Our agency brings the unique mix of:

  1. Canva Verified Expert – Donna Moritz (Lead Creative at Socially Sorted)
  2. Canva Certified Training Partner (for small Canva Teams to medium and large Canva Enterprise teams)
  3. Canva Super Creator of templates (over 27 million exports of Socially Sorted's templates by Canva's users.

At Socially Sorted, we use our signature training systems for training designers and non-designers in a team to save them hours in design time, tech-stack spend … and productivity!

And while we are an agency, we actually want YOU to ditch the agencies.

Yes that's right! Because Canva Enterprise + the right kind of training (we'll share how we do this below) means you can ditch the agency spend and save tens of thousands of dollars in outsourcing to agencies – all by bringing your visual content creation in-house.

You can achieve so much more in-house (and with happy designers and non-designers) when you use Canva Enterprise and the right type of training for your team admins, team brand designers and team members.

It works, it's fun and it's all thanks to Canva Enterprise's amazing features and systems.

Ready to see why Canva Enterprise is perfect for your organization and how we can help you? Let's get into it!

What is Canva Enterprise?

Canva Enterprise is the enterprise-ready version of Canva’s visual communication platform. It's built so multiple teams can create and collaborate at scale while staying on-brand, with enterprise-ready AI to speed up work and professional services for onboarding and support.

It's Canva on steroids for your Organization.

Think: one secure, scalable home for your organization's visual content. From brand templates and controls to presentations to docs to whiteboards to video to websites to social to collaboration tools to print, and more. And with the highest level of security.

Canva hasn't just unblocked designers and marketing teams. They have created scale across entire organizations. In this post I'll share some of the key ways your organization can benefit too!

Canva allows organizations to scale - Canva Enterprise Training

Interested? Let's dive into the top Canva Enterprise features:

What are the key features of Canva Enterprise?

In additional to all the Pro/Teams level of Design & Publishing Tools, AI-powered Design tools, Workplace & Collaboration Tools, Canva Enterprise offers these additional features:

  • Ability to set up multiple teams in Canva across an Organization (ie Teams and Sub-teams, not just one team with Groups). In Canva Enterprise, you can have Organisation > Teams > Groups but in Canva Teams you can only have Teams > Groups.
  • Organization and team-level roles (in Canva Enterprise you can have Organization Level Admins as well as Organisation Level Brand designers (and then Team-level Admins and Brand-designers and of course Team Members). Here is an example layout:

How might this look in teams within your Organization? Here's an example of how this might look for your Marketing, Sales and HR departments:

An example of Canva Enterprise Team & Sub-Team and Org Admin control (source: Canva)
  • Organisation-wide Brand Kits & Templates (as well as the usual Brand Controls and capabilities)
  • Additional Brand Management Controls (more control over Group-level Design Approvals)
  • Higher level of Team Management and Permissions, including: Restricted sharing controls, Control over Template library permissions, Ability to connect Custom Apps & Integrations with Autofill API
  • Higher Level of Security (including Canva Shield indemnity for AI output on Canva's Magic Studio for 100+ seats), SSO (Single Sign-On) and SCIM (System for Cross-domain Identity Management). This is often one of the most sought after features by Organizations seeking industry-standard security.

Features included in Canva Enterprise are constantly changing and improving. Put simply, Canva Enterprise includes ALL of the features of Canva Teams (and Canva Pro) but goes so much further. It's wrapped with admin controls, brand governance, security, and integrations.

And it will save you thousands while making your team of designers AND non-designers very, very happy.

How can Canva Enterprise benefit your organization?

As you can see, Canva Enterprise features bring many key benefits. You get all the power of Canva that you know and love but designed specifically for larger teams. While Canva Enterprise is available for teams of 25 or more it's ideally suited for 100+ member teams where you get access to a Customer Success Manager with Canva.

Either way, Canva Enterprise empowers your team for large-scale visual content production and greater team collaboration. But let's move from the features to the benefits, because that's why you're really here, right?

How does Canva Enterprise benefit YOUR team? Some of the key benefits we see with Canva Enterprise are:

One Visual Workspace for every team – even teams within teams!

Centralise your brand kits, templates and assets so that your marketing, comms, HR, sales, ops and leadership teams work in the same place. All the benefits of Canva's Visual Suite 2.0 but designed to be used across teams and sub-teams.

On-brand content – created at speed!

To us, this is where the rubber hits the road. It's where designers and non-designers on your team are ALL happy. Brand Controls + Brand Kits + Brand Templates + Template locking + Design Approvals are the like brand guard rails for your brand.

Canva Brand Kits - Canva Enterprise Training

Brand Kits ensure that Logos, Colors, Fonts, Icons and Images are set up for your entire team and sub-teams. And those Brand Kits follow your team members around the Canva Editor. As you can see in this example, you can access your approved Brand Templates, Brand Kit (including fonts, colors, logos etc) all from within the Canva Editor:

Canva Brand Kits in Canva Enterprise

Need the right brand colors? They're right there when your team needs to edit a template. Looking for the latest logo? It's right there in the Brand Kit. Want to use a photo that's approved? Drag and drop your team's approved photos from the latest photo shoot straight from the Brand Kit into your latest design.

Canva Brand Kits and Design Editor in Canva Enterprise

Brand templates created in Canva Enterprise are designed with ease-of-use in mind, right down to the locking* of elements to ensure that your logos are in the right place and elements that don't need to be moved remain in place on brand templates.

*Don't worry, we work closely with your brand design team to help them create best-practice templates in Canva that are easy for non-designer team members to edit.

Canva Enterprise - Brand Kits

Your non-designer team members can easily switch out the text or images and create professional, branded content. They don't need to learn to design. They just need to learn how to edit templates effectively and efficiently (hint: that's where our training comes in).

Large organizations need control over who shares what and when and how it's published. Canva Enterprise provides strong brand governance with these features in place.

No more design bottlenecks with Design Approvals

With Design Approvals in place your team can save 100s of hours in design bottlenecks. Don't get me wrong, I LOVE in-house designers. But often they are understaffed with huge backlogs in design requests. I've had many teams tell me in training that their current wait time for content approval is up to 4-6 weeks.

That's a super long time to wait for a poster. And a stressful work environment for your designers. But…. It doesn't have to be like this. Your team can empower non-designers to self-serve with locked, reusable templates.

And guess what? Your talented in-house designers can focus on high-impact work instead of resizing assets for the 47th time… because they have brand controls, brand kits and brand templates in place WITH design approvals.

Essentially Design Approvals is the missing piece to making “unbreakable” templates – so your non-designer team members can edit the important elements and then quickly submit the template or review.

In a few clicks, Team Members can seek Design Approvals in Canva Enterprise from Select Approvers.

Designers can approve templates with a “Quick approve” click of a button OR ask for more changes. Everything works seamlessly IN Canva with a dashboard for both Team Members and Brand Designers submitting or approving designs.

Hint: nobody needs to use email. Can we get a Hallelujah on that?

Design Approvals in Canva Enterprise
Brand Designers on your team can Quick Approve designs or request more edits.

No more 6 week waits for a poster to be approved! Watch the video below for a demonstration of how Design Approvals works for both Brand Designers and Team Members:

Enterprise-ready AI that's practical and useful

Canva's Enterprise-ready AI doesn't just give you the ability to speed up writing, build presentations, create images and edit your work. It does so safely and within guard rails at the Enterprise level. Your Organization Admins can control what types of AI-driven tools your team is able to use and how. With all the concern around safety and copyright when it comes to AI, having these guardrails in place is paramount for organizations.

Outcomes your Company really cares about

We can tell you about features in Canva until we're blue in the face. But those features are nothing without impact and savings in terms of employee hours and tech-stack spend. Canva Enterprise brings those outcomes. These include faster content production, lower design costs, more brand consistency, fewer tools in your tech stack (see below for examples!) and measurable time savings.

Who can be unhappy about those results and that kind of impact?

Canva Pro vs Canva Teams vs Canva Enterprise (what is the difference?)

Here's a simple, no-jargon way to choose between Canva Pro and Canva Teams and Canva Enterprise:

Canva Pro

Canva Pro is for individuals/very small teams. It's great if you are a solo operator or tiny team that needs premium content and faetures without complex governance. It's best for freelancers, founders, micro teams of 1 or 2 people getting started.

Canva Business

Canva Business is for small to medium teams. This next level of Canva adds more collaboration, shared team templates, brand kits and team workflows – compared to Canva Pro.

In truth, Canva Business has a lot of great features that are also in the basic feature-set of Canva Enterprise. It's good for growing teams that need structure, brand tools and collaboration without the enterprise-level governance. BUT Canva Enterprise goes so much further with enterprise-level governance and extensions of many features in Canva Business.

Note: Some Teams that we work with can manage without the advanced admin/security features OR they are just piloting shared templates and collaboration before expanding org-wide. Talk to us today to design a “Teams today, Enterprise tomorrow” roadmap if you're growing fast.

Canva Enterprise

Canva Enterprise is for multi-team, medium to large organisations. Everything in Canva Business is turbo-boosted in Canva Enterprise with advanced admin, brand controls, security, reporting, enterprise AI guardrails, professional services, and scalable organizational structures.

It's best for organizations with multiple departments, 100+ users, brand risk to manage, and a need to standardise visual communication at scale.

Canva Enterprise has more ability to work within multiple teams, more enterprise-level governance over your shared content and more brand-control features. And of course it has higher levels best for growing teams that need structure and collaboration with enterprise-level governance.

Consider these parameters when choosing Canva Enterprise over Canva Business. Talk to us about Canva Enterprise if:

  • You have 100+ users across multiple departments (or even as many as 25+ users)
  • You need advanced permissions, locked templates, and structured approvals.
  • You require SSO/SCIM and auditability for compliance.
  • Your brand risk is high and content velocity needs to increase without adding headcount.
  • You need to be able to create on-brand, high-impact visual content at scale across multiple teams and sub-teams (increasing productivity of non-designer team members and reducing load on in-house designers to free them up for more important strategic design).
  • You want to consolidate tools (presentations, docs, whiteboards, video) into one governed platform.

How much does Canva Enterprise Cost?

Enterprise pricing is tailored to your organization. Because every organization is nuanced in their needs, the pricing proposal is negotiated with Canva's team based on a number of factors (we can help facilitate this and advocate for you). Some of these parameters include:

  • Number of seats (volume)
  • Required features, services and support (e.g., customer success, technical setup),
  • Contract length and rollout scope (discounts may be offered for longer-term controls like 1, 2 or 3 years).
Canva Enterprise Pricing - Canva Enterprise Training

If you’re an earlier-stage or a smaller team, Canva Business may be sufficient for your needs (and more economical) while still giving you shared templates and collaboration features. And this gives you the option to easily migrate to Enterprise in the future. But, if you’re multi-department, have compliance needs, or require advanced brand governance and admin controls, Enterprise is usually the smarter long-term choice.

HOT TIP: Start by clarifying your seat count, department needs, and non-negotiables (SSO, approvals, template governance, reporting). Then reach out to our team so we can help you request an enterprise quote and timeline. If you’re unsure whether Teams or Enterprise is right, we can assess and recommend the right path for you.

We can provide training for Canva Business and Canva Enterprise. If you choose Teams, you can always upgrade later to Canva Enterprise without a lot of disruption to your team structure. We have worked with teams who are in this position and will be eventually upgrading to Canva Enterprise.

The cost of not choosing Canva Enterprise

Let’s talk “hidden costs” (the ones that really matter in your budget but might not be obvious). These include:

  • Design bottlenecks: Designers spend too many hours resizing or “fixing” content because non-designers can’t self-serve their content creation, or templates break. That’s thousands of dollars and hours lost every quarter.
  • Brand dilution: Off-brand content and inconsistent messaging can really erode trust. A fractured brand costs far more than a software license and can impact sales, recruitment and marketing results.
  • Slow time to market: Campaigns can stall or experience bottlenecks because approvals and assets are scattered across the organisation or teams are working in silos. Canva Enterprise reduces friction and accelerates production in your organisation.
  • Compliance and governance risks: Without permissions, audit and asset controls, your organisation risks accidental misuse of your brand assets or third-party content.
  • Fragmented collaboration: Teams creating in silos, duplicating work, and missing knowledge transfer can easily happen. Multiply this by departments and you’ve got a serious drag on performance.
  • Tool sprawl: Without Canva Enterprise you can end up paying for multiple overlapping tools (presentations, social, whiteboards, video, docs). Why not use one platform that can consolidate and standardise your workflows? This chart might look complicated but just know that there are many many tools that can be replaced with Canva (talk to us about this!).

Your tech-stack spend can go from this:

Canva Enterprise Tech Stack comparison

to this, by replacing many tools and software products with Canva:

Canva Enterprise Tech Stack comparison

Here are a few examples of how you can save with Canva:

  • Paying for Miro whiteboards? You get access to awesome team collaboration whiteboards in Canva.
  • Using Google Sheets? Canva Sheets gives you a visual-first spreadsheet software with AI-powered efficiency, instant data visualization, and dynamic design.
  • Ditch Powerpoint (finally!) for Canva Presentations.
  • Present and record screen recordings and no longer need Loom. Use Canva present and record!
  • Create internal Canva websites for team updates, projects, reports and onboarding (say goodbye to Wix and Squarespace).
  • Virtually brainstorm with your product design team, engineers and designesr using Canva Docs, Whiteboards and Collaboration tools (saying goodbye to Confluence, Miro and more.
  • Create product onboarding and employee engagement collateral and merchandise (hello, Canva Print!)
  • Welcome and integrate new hires, and foster employee engagement and satisfaction with Canva's tools (saying goodbye to other team onboarding software).

It's not just saving on tech-stack spend, it's tech-stack sprawl that kills productivity and collaboration in teams. Why not bring more tools together in one for efficiency (and a huge collective sigh of relief from your entire team!) – because they can replace so many tools in Canva Enterprise and do everything in one place:

That's a lot, right? And a lot of savings for big companies when it comes to tech-stack spend and employee time when using Canva Enterprise.
